Elective Rotations

If you are interested in becoming a visiting resident at MAHEC, please read and complete the following steps. Please plan to begin a minimum of 12 weeks prior to your proposed start date to complete the necessary paperwork and get everything approved from the institution and the North Carolina Medical Board, especially if you are coming from out of state.

Your first step is to contact the individual program (residencies listed here and fellowships listed here) that you are interested in joining to determine if they will accept you and to confirm the dates of the visiting residency.

Application Process

  • Complete the Visiting Resident Application. Send the completed form to the MAHEC Residency Program Coordinator you have been working with.
  • Contact Lizzie Smith in the GME Office to start the PLA process (Program Letter of Agreement) for your institution, as only the MAHEC Letter of Agreement template will be accepted.
  • Apply for a North Carolina License (if you do not already have one)
    • If you do not already have a North Carolina Medical Board License (resident training license or full), go to ncmedboard.org for the application and contact your Residency Program Coordinator for further assistance. Please allow at least 12 weeks for the NCMB license application process.
  • The applicant will receive an email to start the affiliation process. Please complete all the steps as soon as possible. Once we get this returned, it will take 4 weeks to process.

Complete the following forms and return them to the GME mailbox.

  • A copy of your ECFMG certificate (only applicable if you are a foreign medical graduate)
  • A photo of yourself for badge access
    • photo should be taken indoors (no outside scenery or foliage as the backdrop)
    • background should be neutral, like a beige or white wall (no patterns, like brick or wallpaper)
    • make sure the area is well lit and that no shadows fall over your face
    • please squarely face the camera, as if for a driver’s license (no head tilts, no side profiles, etc.)
    • leave ‘white space’ above your head and on either side of your shoulders (photo should be taken from the bust up)
    • you can smile or not smile—whatever is most comfortable
  • Proof of your ACGME-approved residency/fellowship training program (letter from program director)
  • A copy of your permanent North Carolina license or a copy of your temporary North Carolina training license. Documents must be submitted to MAHEC GME 60 days prior to rotation start date.
  • Curriculum Vitae or previous Electronic Residency Application Service application
  • Verification of malpractice insurance coverage from your home institution
  • Proof of completion of a Health Insurance Portability and Accountability Act (HIPAA) program at your home institution
  • Copy of your immunization records or health clearance form from your employee health office (must include COVID and Flu vaccinations)
  • Please complete forms 1 & 3 of the affiliate onboarding process at mahec.net/affiliate-student
  • MAHEC Parking Registration Form

Other requirements

  • Please confirm orientation and first-day meeting times and locations with your program-specific contact person
  • Complete the EHR training video emailed to you prior to your start date
  • Obtain an ID badge from MAHEC Facilities
